Add sequential reference numbers across a batch of PDFs

Assign one reference sequence to three exhibits

Three exhibits have 2, 3 and 1 pages and need one sequence starting at DOC-000101. Arrange the files in exhibit order, enter prefix DOC-, start 101 and 6 digits. Expect DOC-000101 through DOC-000106, with the second file starting at 000103 and third at 000106.

✓ Compare the last label of each file with the first of the next. Check that all references fit inside page edges and remain distinct from existing numbering.

Prefix and suffix

Add simple reference text before or after the counter.

The built-in Helvetica font has limited character coverage.

Starting number

A whole number from 0 to 999999999.

The sequence continues between files rather than restarting.

Minimum digits

1 to 12 digits, padded with zeros.

Longer numbers are not truncated to the minimum.

Choose one of nine page positions.

Inspect rotation and avoid existing signatures or footnotes.

Does numbering restart for each PDF?

No. The sequence continues across the ordered batch.

Does this provide certification or an audit trail?

No. It adds visible sequential reference labels only.

Use one sequence across the batch

The counter continues from one document into the next. A prefix such as DOC- and six digits produces labels such as DOC-000001. The digit count is a minimum, so a larger number is not truncated. File order controls which document receives the first labels.

Review placement and existing numbers

The labels are added as page content and do not replace numbers already printed on the document. Keep them clear of footnotes, signatures and page edges. The built-in font has limited character coverage, so use a simple prefix and suffix. Rotated or unusual page layouts should be checked carefully.

Check the saved result

Compare the last label of each file with the first of the next. Check that all references fit inside page edges and remain distinct from existing numbering.

Visible labels provide no certification

These are visible labels, not an audit trail or certification. Labels are not automatically removed or replaced in a later run.

A reference label is rejected as too wide

The prefix, suffix and digit count exceed the page width available. Shorten the text or reduce padding, then recheck every page.
